Day 3 to Day 7: The Week

The Video Visit Needs a Person at the Table: Decide Who Sets Up the Phone, the Login, and the Charger

A follow-up video visit goes well or badly depending on who set up the device, the login, and the room before the call starts, so decide that owner before the appointment day.

· After the Hospital STL desk

Some follow-up visits happen by video. The clinic sends a link or an invitation, and the call starts at a set time. The people who fail at these visits are usually not the doctor or the parent. They are the people who forgot the charger, could not find the login, or tried to set things up at the moment the call began.

Local option: New Plan Care gives families in the St. Louis area in-home help so a parent can stay home: companionship, help with bathing and dressing, meals, and overnight care. Call (314) 405-0887.

Decide who owns the setup

There are three choices. A family member does the setup and sits with your parent for the first call. A hired non-medical helper sets up the equipment as an errand and stays nearby, but the family or your parent is the one who speaks on the call. Or the setup is handed to the clinic's support line or a patient navigator, if the clinic offers one. Pick one owner in writing, and tell the clinic who it is.

The setup checklist

Work through this a day before the visit, not in the hour before it.

Confirm the device has a working camera and microphone and is fully charged. Put it on a stand or a stack of books at eye level, so the screen is not pointed at the ceiling. Choose a chair with a back and good light from the front. Confirm who has the login and the password, and write both on the card by the phone. Ask whether the clinic will send a link, and where it will arrive, email or text. Ask whether a phone-number backup is allowed if the video drops.

Run one test call

Ask the clinic whether a test call is possible. If it is, run it with the same device, the same room, and the same person who will be there on the day. If the sound is poor, check the speaker volume and move closer to the router or the phone's signal. If it still fails, ask the clinic which other option they accept, and write down their answer.

Permission and who can join

Ask whether your parent has given the clinic written permission for you to join or receive information. Federal privacy rules allow providers to involve family in care when the patient agrees or does not object (HHS, HIPAA Privacy Rule), but the clinic's own forms decide what is on file. Check the form before the call, not during it.

The call is for the clinician and your parent. Your job is the setup, the note-taking, and the list of questions. The desk's Sources page lists the rules and pages this guide relies on.
